Upload document templates

Upload your Word templates for allotment letters, agreements, offer letters and receipts so the app can generate them pre-filled from any record.

Before you begin

You need the Admin role (or higher) to complete the steps on this page.

Document templates are Word (.docx) files uploaded to the workspace with merge-field tags embedded in them. When a user clicks Generate on a booking, customer or employee, the template is cloned, the tags are replaced with real values, and the result is downloaded or stored against the record.

Note

Only roles with legaldoc.template can upload or edit templates — by default Admins, Operations and Super Admins.

How templates work

Each template is tied to a document type (allotment letter, booking agreement, offer letter, payment receipt, cancellation letter, and so on). When a user generates a document of that type, the system picks the most recent active template for that type.

Merge-field tags inside the DOCX use the double-brace syntax {{tag.name}}. The tag catalogue is managed under Document management → Tag library — see the next page for how to add new tags.

Upload a new template

Step 1: Open Document management → Templates

The page lists every uploaded template with its type, version and active flag.

Step 2: Click Add template

Pick the Document type this template is for. If the type you need is not in the dropdown, open Master data → Document types first and add it.

Step 3: Upload the DOCX

Click Upload and pick your .docx. The file must be a real Word document (not just a renamed file) and under 10 MB.

Step 4: Mark as active

Switch Active to on and save. Future Generate clicks for this document type use this template.

Supported merge-field tags

The exact catalogue depends on the record type. The most common tags:

Tag Meaning
{{customer.full_name}} Full name of the booked customer.
{{customer.address}} Permanent address, formatted single line.
{{plot.code}} Plot or unit code.
{{plot.area_sqft}} Area in sq ft.
{{booking.date}} Booking date, formatted dd-MMM-yyyy.
{{booking.total_amount_words}} Total amount in words (Indian numbering).
{{payment.receipt_no}} Receipt number for the payment event.
{{company.name}} Legal company name from Settings → Company.
{{today}} Today's date on the generated document.

Open Document management → Tag library to see every tag available for the record type you are templating.

Preview before activating

Step 1: Click Preview on the template row

The system picks a sample record and generates a preview you can download without touching the real customer.

Step 2: Fix broken tags

Tags that do not resolve render as empty space, not an error. Scan the preview for blank fields and correct the tag name in the DOCX, then re-upload.

Warning

Replacing a template does not retroactively update documents already generated against the previous template. If you need to resend a corrected copy to a customer, generate a new document on the record.
