Set up email (SMTP)

Route the platform's outbound email through your own domain so customers see your company name as the sender and replies come to your inbox.

Before you begin

You need the Admin role (or higher) to complete the steps on this page.

By default, the platform sends transactional email (receipts, invoices, dunning notices, approval alerts) through a shared sender address. For a professional look and better deliverability, configure your own SMTP so email goes out from your domain and lands in your inbox when customers reply.

Note

SMTP is one of several integrations configured under Admin → Settings → Integrations. The tab is Admin-only.

Prerequisites

  • An SMTP host, port, username and password from your email provider (Google Workspace, Microsoft 365, Zoho, SES, Postmark, SendGrid — any provider that offers an SMTP endpoint).
  • A verified "from" email address on your domain. Most providers require you to verify the mailbox before relay works.

Open the SMTP tab

Step 1: Open Admin → Settings → Integrations

Scroll to the Email (SMTP) card and click Configure.

Enter credentials

Step 1: Paste host and port

Fill in the provider's SMTP host and port. The port is usually 587 (STARTTLS) or 465 (SSL).

Step 2: Enter username and password

Use the SMTP user your provider gave you — this is often a dedicated SMTP token, not your mailbox password.

env
SMTP_HOST=[SMTP_HOST]
SMTP_PORT=587
SMTP_USERNAME=[SMTP_USERNAME]
SMTP_PASSWORD=[SMTP_APP_PASSWORD_OR_TOKEN]
SMTP_FROM_EMAIL=notifications@yourcompany.com
SMTP_FROM_NAME=[YOUR_COMPANY_NAME]

Step 3: Pick encryption

Choose STARTTLS for port 587 or SSL/TLS for port 465.

Step 4: Enter the "from" address and display name

This is what customers see as the sender. Use an address on your domain so replies route correctly.

Send a test email

Step 1: Click Send test

Enter the email address you want the test sent to. The system sends a short "SMTP test" message and shows the exact response from the provider on screen.

Warning

If the test fails, do not save. A broken SMTP configuration silently blocks every outbound email until it is corrected.

Step 2: Save

Only save after the test succeeds. All future transactional email flows through this SMTP from here on.
