Schedule and log site visits

Book site visits for prospective customers at any of your projects, confirm attendance and roll the outcome back into the lead or booking record.

A site visit is a scheduled viewing of a project by a prospective buyer. Site visits are the hand-off point between a qualified lead and a booking — the rep walks the plot or unit, answers questions, and either books on the spot or logs a follow-up.

Visitor management is HR-owned by default; sales roles see only the Customer site tours sub-tab (post-booking tours).

Schedule a site visit

Step 1: Open Visitor management → Site visits

Click Schedule visit.

Step 2: Pick the prospect and project

Pick an existing lead or walk-in, or type a new name and phone. Select the project they want to see.

Step 3: Set date, time and the assigned rep

Pick the slot and the rep who will host the visit. The rep gets a reminder notification on the day.

Step 4: Save and send confirmation

Save. If WhatsApp or SMTP is configured, the prospect gets an automatic confirmation with the slot details.

Confirm attendance

Step 1: On the day, open the visit

The visit lands on the host rep's Today list.

Step 2: Mark attended or no-show

If the prospect showed up, click Mark attended. Add an outcome note — plots walked, questions raised, concerns.

Step 3: Convert to a booking (if hot)

Click Convert to booking to launch the booking wizard pre-filled from the prospect's record.

Reschedule or cancel

Step 1: Open the visit

Click Reschedule or Cancel. Rescheduling re-sends the confirmation message with the new slot.

Note

Cancelled visits stay on the record for analytics but are hidden from the day's list.
