Set up WhatsApp notifications
Connect your WhatsApp Business number so leads, customers and team members receive automatic WhatsApp updates for follow-ups, site visits, bookings and payments.
You need the Admin role (or higher) to complete the steps on this page.
WhatsApp is the fastest way to reach a lead or customer in India. The platform integrates with the WhatsApp Business Cloud API so every notification the system sends — booking confirmation, payment receipt, dunning reminder, follow-up prompt — can go out via WhatsApp alongside (or instead of) email.
You need a WhatsApp Business API account from Meta or an approved business solution provider (BSP). Setup takes a day or two for Meta direct onboarding; a BSP typically turns this around in a few hours.
Prerequisites
- A business phone number not already in use by the WhatsApp consumer app.
- Access to the Meta Business Manager (or BSP dashboard) for your firm.
- At least one message template approved by Meta for each notification type you want to send (booking confirmation, payment reminder, OTP, etc.).
Open the WhatsApp tab
Step 1: Open Admin → Settings → Integrations
Scroll to the WhatsApp card and click Configure.

Paste your API credentials
Step 1: Enter your Phone number ID and access token
Copy the Phone number ID and permanent access token from your Meta Business Manager or BSP dashboard.

Step 2: Enter the business display name
This is the name recipients see in their WhatsApp thread. It must match the display name registered against the number in Meta Business Manager.
Phone numbers in the system are stored in E.164 format (+91XXXXXXXXXX). WhatsApp send will fail silently if a recipient's phone is stored in local format.
Map templates
Each notification type maps to a specific approved template. The system cannot send a free-text message outside the 24-hour customer-reply window; everything else must use a template.
Step 1: Open the Templates sub-tab
You see one row per notification type the system can send.
Step 2: Pick the matching Meta-approved template per row
For each type, pick the template name from the dropdown. Templates must be in APPROVED state in Meta.

Send a test message
Step 1: Click Send test
Enter a WhatsApp-registered number and pick the template. The system sends the test and shows the exact response from the WhatsApp API, including any template-approval or parameter-mismatch error.
Rotating the WhatsApp access token in Meta Business Manager immediately disconnects every running notification rule. Update the token here within the same session.
