Capture sales intakes
Let sales reps who do not hold booking rights capture a deal end-to-end as a sales intake, then route it to Accounts for conversion into a real booking.
A sales intake is a pre-booking form that captures everything a booking needs — customer, unit, pricing, payment plan, advance received — but without consuming inventory. Intakes are for sales reps who can collect deposits but do not have the booking rights (booking.write) your firm reserves for a Sales Head or Accounts user.
Once Accounts approves the intake and clicks Convert to booking, the real booking is created, the inventory is consumed and the advance is folded into the booking's ledger.
When to use intakes
- Your Sales Executives collect a token amount at the site but should not be able to raise the final booking.
- The deal needs an Accounts review (price concessions, non-standard payment plan) before it becomes a real booking.
- The customer wants to lock a unit "informally" over the weekend before paperwork on Monday.
Raise an intake
Step 1: Open CRM → Sales intakes
Click Add intake.

Step 2: Fill in the same fields as a booking
Customer, unit, pricing, payment plan, advance received, payment mode. The form is deliberately the same shape as the booking wizard so Accounts does not have to re-key anything.
Step 3: Submit for approval
The intake lands in Approvals → Sales intake approvals for the approver tier (Accounts Team, Sales Head, Admin).
Convert an approved intake
Step 1: Open Approvals → Sales intake approvals
Approvers see every pending intake with the submitter and total value.
Step 2: Click Convert to booking
The booking is created and inventory moves to BOOKED. The intake record is retained as the pre-booking audit trail.
