Capture and work leads

Log prospects from every channel, run follow-ups with a mandatory outcome, and move hot leads into site visits and bookings.

A lead is a prospective buyer who has shown interest but has not booked yet. The Leads module is the top of the sales funnel — rep enters the lead, logs activities, moves it through stages, and converts it into a site visit, walk-in or booking.

Each lead gets a sequential human-readable code (LEAD-00000001) so your team can refer to prospects by number in WhatsApp or on the phone.

Lead stages

Stage What it means
NEW Just captured, not yet contacted.
CONTACTED At least one outbound call or message.
QUALIFIED Rep has confirmed intent and budget range.
SITE_VISIT_SCHEDULED A site visit is on the calendar.
NEGOTIATION Price or terms are under discussion.
WON Converted to a booking.
LOST Dropped — with a mandatory reason.

The stage is a free-text pill in the sidebar — your reps can pivot it as the conversation evolves.

Capture a lead

Step 1: Open Sales management → Leads

Click Add lead.

Step 2: Fill in identity and contact

Enter Name, Phone, Email, and the source that brought the lead (Facebook, Walk-in, Partner, Referral, Website, Social media sub-source).

Step 3: Pick a project of interest

If the lead already has a project in mind, select it. The project appears on reports grouped by interest.

Step 4: Save

The lead is created with a LEAD-######## code and lands on the current rep's My leads list.

Log activity on a lead

Every outbound touch — call, WhatsApp, email, meeting — becomes an activity on the lead. Activities are the audit trail of what has been done and when the next touch is due.

Step 1: Open the lead

Click the lead's name on the list.

Step 2: Click Log activity

Pick the type (call, WhatsApp, email, site visit, meeting), fill in the note and the outcome (mandatory).

Step 3: Set the next follow-up date

The next-follow-up date is mandatory for an open lead. A badge on the lead list turns rose when the follow-up date goes past due.

Important

Dropped leads must have a cancellation reason from the master data list. "Not interested" and "Price too high" are different signals downstream in your Sales analytics.

Senior response thread

When a senior (Team Lead, Manager, Head) adds a comment on an activity, the comment threads under that activity rather than becoming a new activity. This keeps the "what was said and when" clean and the "what the senior told me to do next" visible.

Convert to a booking

Step 1: Click Convert to booking

The booking wizard opens pre-filled with the lead's name, phone, email and project interest.
