Manage the tag library

Add, rename and group the merge-field tags your document templates use so legal and accounts teams can keep template language in sync.

Before you begin

You need the Admin role (or higher) to complete the steps on this page.

The tag library is the single source of truth for every merge-field token ({{customer.full_name}}, {{booking.date}}, and so on) that templates can reference. Admins curate the library once; template authors re-use entries across every DOCX.

Open the tag library

Step 1: Open Document management → Tag library

Tags are grouped by subject (Customer, Plot, Booking, Payment, Employee, Company, Date).

Add a new tag

Step 1: Click Add tag

Pick the Subject group and enter the Key (lowercase, dot-separated, no spaces — for example, customer.spouse_name).

Step 2: Pick the data source

Choose whether the tag resolves from a static value, an existing field on the subject's record, or a computed value (number in words, formatted date).

Step 3: Save

The tag is immediately usable in any new or re-uploaded template.

Tip

Keep tag names stable. Renaming an in-use tag breaks every template that referenced the old name.

Rename or deactivate a tag

Step 1: Open the tag row

Click the tag's key to open the editor.

Step 2: Deactivate rather than delete

If a tag is no longer needed, switch Active to off. The tag stays in the catalogue so historic templates do not break, but it is hidden from new template authors.
