First-time setup checklist
The sequence an Admin runs once in a new workspace so the sales, accounts, HR and operations teams can start using Real Estate Suite the same day.
You need the Admin role (or higher) to complete the steps on this page.
Run this checklist once, in order, before you add non-admin users. Each section links out to the module page that covers the field-by-field detail; this page is the shortest route from an empty workspace to a workspace your team can start logging into.
Only roles with Admin or Super Admin permissions can see most of the screens below. If a menu item is missing from your sidebar, confirm you are signed in with an Admin role.
Add your company profile
Open Admin → Settings and fill in the fields on the Company tab. The company name, logo, GST number and legal address flow into every PDF the platform generates — invoices, payment receipts, purchase orders, offer letters and payslips — so get this right first.
Step 1: Open Admin → Settings
Scroll the sidebar to Admin → Settings. The Company tab opens by default.

Step 2: Upload your logo and favicon
Click Upload next to Logo and pick a PNG or SVG at least 400 px wide. Repeat for Favicon. Both appear immediately in the sidebar.
Step 3: Enter legal details and save
Fill in Company name, Registered address, GSTIN, PAN, and the support email and support phone customers should contact. Click Save.
Set up master data
Master data is the set of reusable values the forms across the app depend on — departments, designations, document types, lead sources, cancellation reasons, and so on. Admins maintain this list under Admin → Master data.
Step 1: Open Admin → Master data
Each category appears as a tab. Click the one you want to edit, review the defaults and either keep, rename or add entries.

Step 2: Add your departments and designations
Open Departments and click Add department for each team in your firm (Sales, Accounts, HR, Operations, and so on). Then open Designations and add the titles under each department. HR will later pick from these when adding employees, so completeness here saves time later.
You can come back and add new master data entries at any time. The initial pass only needs to cover what your first batch of users will touch.
Create roles your firm needs
Real Estate Suite ships with a complete catalogue of pre-seeded roles. Admins only need to intervene if the firm needs a custom role or a tweak to an existing one. Open Admin → Roles to review what each role can do; use Clone to start a new custom role from the closest existing one, then adjust its permissions.
Only Super Admins can assign the Super Admin role. Treat this role as the "break glass" account — grant it to one or two trusted people and keep day-to-day work on the Admin role.
Add your projects and inventory
A booking cannot exist without an inventory record to book. Add at least one project and its plots before onboarding sales.
Step 1: Create your first project
Open Catalogue → All projects and click Add project. Fill in the project name, type (township, apartment, villa, commercial), city and the planned handover date. Click Save.

Step 2: Add plots or floor-and-unit inventory
Open the project you just created. For a plotted development, click Add plots and either enter plots one-by-one or paste a CSV. For a built-up project, open Floors / Units and define the tower / floor / unit grid. Capacity gates stop you from creating more units than the plot or floor supports.
Step 3: Mark the inventory as available
New inventory starts in DRAFT. Once a plot or unit is ready to sell, open it and change the status to AVAILABLE. Only AVAILABLE inventory shows up to Sales for booking.
Add your team
With master data, roles and inventory in place, you can create user accounts. There are two parallel pipelines:
- Admin → Users — for anyone who needs a login (sales, accounts, HR, admins). This is the fastest way to invite someone.
- HR & Payroll → Employees — for payroll-tracked staff. The Add Employee form has a "Create system login" checkbox that provisions the user record at the same time, so you do not need to double-enter them.
Step 1: Add admins and senior managers first
Open Admin → Users and click Add user. Fill in name, email, phone and a temporary password at least 8 characters long, then tick the roles that user should have. Share the temporary password with them out-of-band (email, chat, in person). They will be forced to change it on first sign-in.

Step 2: Add employees through HR
Open HR & Payroll → Employees and click Add employee. Fill in the mandatory fields — employee code, name, phone, email, PAN, Aadhaar, bank account, date of joining, department and designation. If you want this employee to be able to mark their own attendance and download their own payslips, tick Create system login and set a temporary password; the system creates the matching user and assigns the Employee self-service role automatically.
Employees added without a login can still appear on the attendance grid — the system login is only needed if the employee signs in to the app themselves. HR teams can add the login later from the Edit employee page.
Configure integrations
Integrations are opt-in and configured under Admin → Settings on the Integrations tab. The main ones most firms switch on first:
| Integration | Purpose |
|---|---|
| WhatsApp notifications | Automatic WhatsApp messages for booking confirmations, payment reminders and site-visit confirmations. |
| Email (SMTP) | Transactional emails: receipts, invoices, dunning notices. |
| Payment gateway | Online payment links sent to customers alongside booking confirmations. |
| Document templates | Upload your firm's letterhead template so generated agreements, receipts and offer letters match your brand. |
Each integration has its own setup page under the Configuration section of these docs.
Smoke-test the workspace
Before onboarding the full team, log in as one representative user from each department and confirm the sidebar matches expectations.
Step 1: Sign in as a sales user
Confirm Catalogue, CRM → Bookings, Sales management → Leads and Visitor management → Customer site tours appear in the sidebar. The user should not see Admin, Reports or HR.
Step 2: Sign in as an accounts user
Confirm CRM → Payments received, Invoices, Credit notes, Purchases → Bills and Payments made all open without errors.
Step 3: Sign in as an HR user
Confirm HR & Payroll → Employees, Attendance and Payroll runs open and that the master data pickers (department, designation) show the entries you added above.
Step 4: Sign in as an Employee self-service user
Confirm the sidebar is restricted to Attendance and My payslips. There should be no Dashboard entry.
