Record payments received
Record every incoming payment from customers, reconcile it against a booking's payment schedule and send a branded PDF receipt automatically.
Every rupee a customer pays — booking advance, instalment, final settlement — is captured under CRM → Payments received. Each entry links to a booking, slots into the payment schedule, generates a branded PDF receipt, and (if WhatsApp or SMTP is configured) sends the receipt to the customer automatically.
How it works
A booking carries a payment schedule derived from its payment plan — N instalments with due dates, amounts and labels (Booking advance, On agreement, On foundation, On possession, etc.). Each payment received slots against one or more schedule rows, closing them when fully paid. The booking's pendingAmount is always the sum of unreconciled schedule rows.
Record a payment
Step 1: Open CRM → Payments received
Click Record payment.

Step 2: Pick the booking
Search by booking code, customer name or project. The schedule rows for that booking load alongside.
Step 3: Enter amount, date and mode
Fill in Amount received, Payment date and Mode (cash, cheque, UPI, bank transfer, online gateway). For cheques, enter the cheque number and bank; for UPI and gateway, enter the reference number.
Step 4: Allocate across schedule rows
By default the amount fills the oldest unpaid schedule rows first. You can override and allocate manually if the customer specified which instalment they are paying.
Step 5: Attach the bank proof
Upload a photo of the cheque, UPI screenshot or bank-advice copy. The upload lives against the payment and reappears on the receipt audit trail.
Step 6: Save and send receipt
Save records the payment. Save and send receipt also generates the PDF receipt and emails or WhatsApps it to the customer.
Payments created in error cannot be deleted by non-admins. If you record a wrong receipt, flag it to Admin — they can soft-void it with a reason that stays in the audit trail.
PDF receipts
Every payment generates a professional PDF receipt via the server-side renderer. The receipt uses your firm's letterhead from Settings → Company and includes:
- Receipt number (sequential per fiscal year)
- Customer name and address
- Project, unit code
- Payment date, amount, mode and bank reference
- Running total paid vs booking value
- "Received by" (the user who logged the payment)
Click Download PDF on any payment row to re-fetch the receipt. The PDF is generated server-side and attached with the auth token so public links do not work — only signed-in users can download.
